To ensure the capture of complete, accurate, reliable and useable documentation of organizational activity to meet business needs, accountability requirements and community expectations; to manage records in all media as an asset and information resource; and to promote efficiency and economy, both in the management of records and in organizational activity, through sound recordkeeping practices.
Information Management (IM)
Information is at the center of everything RDC does. How we manage that information and our corporate records can directly affect our ability to operate efficiently.
The systematic control of records throughout their life cycle is the definition of records management.
What are records?
Records are the evidence of what the College does, they capture our business activities and transactions.
Why is information management important?
Records are information assets and hold value for the College. We have a duty to our stakeholders to manage that information effectively in order to maximize revenue, control cost, and ensure the sustainability of our organization. Effective information management ensures that records are retrievable, authentic, and accurate. This requires:
- Setting and following organizational policies and best practices;
- Identifying who is responsible and accountable for managing information;
- Creating, communicating, and executing procedures consistently;
- Integrating best practices and process flows with other departments throughout the College.
As employees, you use information daily to:
- Perform daily business transactions;
- Deliver programs and services consistently and with integrity;
- Identify vital records and establish guidelines and resources to maintain business continuity after a disruption or disaster;
- Comply with legislative and regulatory requirements;
- Manage risk;
- Protect the interests of all stakeholders inside and outside the College;
- Provide documentation of research for the development of programs and services;
- Preserve the College's identity and history.
Who is responsible for managing information?
Everyone is! Each employee has an important role to play in protecting the future of the College by creating, using, retrieving, and disposing of records in accordance with the established policies and procedures.
